TERMS & CONDITIONS | REFUND & CANCELLATION POLICY

These Terms and Conditions govern all bookings made with Travelafcon (“the Company”). By confirming a booking, the Client acknowledges and agrees to the terms outlined below.

A. CANCELLATION POLICY

All cancellations must be submitted in writing and acknowledged by Travelafcon. Cancellation fees apply per person and are calculated based on the number of days prior to the scheduled departure date:

  • 46 days or more before departure: 5% cancellation fee
  • 45 days before departure: 10% cancellation fee
  • 20 days before departure: 30% cancellation fee
  • 10 days or fewer before departure: 100% cancellation fee (non-refundable)

Cancellation timelines are calculated from the official tour departure date, regardless of the booking or payment date.

B. UNUSED SERVICES & NO-SHOW POLICY

No refunds shall be issued for any unused or partially used services, including accommodation, transfers, sightseeing, meals, entrance fees, cruises, optional tours, or transportation, irrespective of the reason.

Failure to utilize any booked service shall not entitle the Client to a refund.

No-shows, including failure to arrive at the point of departure or check-in, will result in forfeiture of the full booking amount.

C. CANCELLATION OR AMENDMENT BY TRAVELAFCON

Certain tours may require a minimum number of participants. Travelafcon reserves the right to cancel a tour if this minimum is not met. In such cases, clients will receive a full refund of amounts paid.

Travelafcon shall not be liable for refunds if a tour or any part thereof is cancelled, delayed, or altered due to Force Majeure or events beyond reasonable control, including but not limited to natural disasters, pandemics, government actions, strikes, airline disruptions, or supplier insolvency.

Any refund granted under such circumstances shall be subject to supplier refund policies and issued strictly at Travelafcon’s discretion. The Company’s decision regarding refund eligibility and amount shall be final.

D. HANDLING & ADMINISTRATIVE FEES

All cancellations and refunds are subject to a 6% handling and administrative fee, applied in addition to any applicable supplier or cancellation penalties.

E. CONDITIONS OF TRAVEL

Clients must strictly adhere to the confirmed itinerary. No refunds will be provided for failure to join the tour at commencement, joining late, or leaving early.

It is the Client’s sole responsibility to arrive at the designated meeting point at the correct date and time.

If a Client or accompanying family members discontinue the tour due to illness, death, loss of documents, or personal circumstances, no refund shall be granted for unused services.

Inability to commence the tour for reasons including loss of baggage or travel documents shall be treated as a no-show, attracting 100% cancellation charges.

Where pre-tour services, flights, or partial arrangements have been utilized, failure to join the main tour shall be treated as a no-show, with no refund payable for unused services.

F. CLIENT RESPONSIBILITIES & CONDUCT

Travelafcon reserves the right to remove any Client from a tour whose conduct is deemed disruptive, unsafe, unlawful, or detrimental to the comfort, safety, or enjoyment of other participants or tour operations. No refund shall be issued in such circumstances.

G. TOUR PRICING, SURCHARGES & CURRENCY

All prices are based on rates, taxes, fuel surcharges, and exchange rates applicable at the time of quotation and are subject to change.

Travelafcon reserves the right to adjust prices due to supplier rate changes, airline fare increases, fuel surcharges, government taxes, or high-season supplements.

Any increase must be paid in full prior to departure.

If a price increase occurs, the Client may cancel the booking and receive a full refund, provided written notice is received within 96 hours of notification.

Promotional offers or discounts may be withdrawn at any time unless expressly stated otherwise in writing.

H. LIMITATION OF LIABILITY

Travelafcon acts solely as an agent for airlines, hotels, transport providers, and other third-party suppliers and shall not be liable for injury, loss, damage, delay, or expense arising from acts or omissions of such suppliers.
Any legal claim against Travelafcon must be initiated within 7 days of the final day of the tour, failing which all claims shall be deemed waived.

All refund requests must be submitted in writing, clearly stating the reason, to:

Travelafcon shall not be responsible for undelivered or failed correspondence.

J. REFUND PROCESSING TIME

Where applicable, approved refunds will be processed within 15–45 working days, subject to supplier refund timelines and receipt of funds.

K. VISAS & FLIGHT TICKETING

Visa approvals are at the sole discretion of the relevant embassy or consulate. Travelafcon cannot guarantee visa issuance and shall not be held liable for delays, denials, or any consequences arising from visa processing.

Clients who authorize Travelafcon to issue flight tickets prior to visa approval do so at their own risk. Travelafcon shall not be held liable for any costs, losses, or penalties incurred if the visa is delayed, denied, or not granted.

Clients are responsible for ensuring that all documentation required for travel, including passports and visas, is valid, complete, and accurate.
